Quick answer: You cannot schedule the CRCST exam until HSPA approves your application. Once approved, you receive a scheduling letter or email and a 120-day testing eligibility window. You then book your own appointment through Prometric, by phone or online, at least 48 hours before your test time. HSPA grants no extensions on the window, for any reason.
The scheduling process, step by step
Scheduling is the middle link in the certification chain: HSPA decides you are eligible, Prometric hosts the exam, and you connect the two. Here is the full sequence in order.
- Submit your CRCST application to HSPA. This includes your documentation, any required signatures, and the exam fee. HSPA processes applications, and scheduling details cannot be given by phone, so do not call HSPA to book a date.
- Receive your scheduling letter or email. Once HSPA receives and processes your application, it sends you the information needed to schedule with Prometric, either by phone or online. If you gave HSPA an email address, the notification goes out within 24 hours of processing; by postal mail it takes longer.
- Verify your name matches your ID exactly. Your first and last names on the scheduling letter must match your photo ID exactly. Middle names and initials are not checked, so "John A. Doe" on the ID is fine as "John Doe" on the letter. Any typo, misspelling, or name change from marriage or divorce must be fixed with HSPA before you schedule, or you will be turned away at the test center and forced to reapply.
- Choose your testing window. You can book any day your local Prometric testing center is open, which is typically at least six days a week, as long as the date falls inside your 120-day eligibility window. Seating is first come, first served.
- Book your appointment. You must schedule a minimum of 48 hours before your desired test time. HSPA strongly recommends scheduling at least 45 days before your eligibility expires, because centers fill up and your exam fee is forfeited if the window closes on you.
- Save your Prometric confirmation number. After booking, a confirmation letter can be printed or emailed from the Prometric website. You do not need it to take the exam, but you will need the confirmation number if you ever reschedule, and you can use it to verify your appointment on the Prometric site or by phone.
- Arrive at least 30 minutes early. The handbook sets a 30-minute early arrival rule. Candidates who arrive later than their scheduled start time are seated only if space allows, and may lose the appointment entirely.
Your 120-day testing eligibility window
Your scheduling letter defines a 120-day testing eligibility window: the span of days during which you may sit for the exam. This is the single most important date on your letter, because HSPA states plainly that no extensions are granted, regardless of circumstance. If you fail to schedule and take the exam inside the window, your eligibility period effectively ends and the application process, including a new fee, must be repeated.
Two practical rules come straight from the handbook. First, the minimum lead time: no appointment can be booked less than 48 hours before the test time. Second, the 45-day recommendation: schedule at least 45 days before your eligibility expires. Late bookers face seating limitations, and if your local center has no openings before your window closes, you forfeit the exam fee you already paid. The confirmation letter is only for your records; you are solely responsible for making and keeping the appointment date.
Do not wait for the deadline. Prometric seats are first come, first served. Booking early in your window gives you your choice of dates and a cushion if you need to reschedule later.
Rescheduling and cancellations
Plans change, and HSPA allows one normal route to move an appointment: reschedule it yourself through Prometric. The deadline is strict. An appointment can be rescheduled no later than noon Eastern Time, two business days in advance of the test date. The handbook gives concrete examples: a Wednesday appointment cannot be rescheduled after noon on Monday, and a Saturday, Sunday, or Monday appointment cannot be rescheduled after noon on Thursday.
Rescheduling is available online 24 hours a day or by phone Monday through Friday, 9am to 5pm Eastern. You will need your Prometric confirmation number, and any additional fees are paid directly to Prometric at the time of rescheduling. If a testing center unexpectedly closes, Prometric's rescheduling department contacts affected candidates within 48 to 72 hours to rebook, and you can also check for site closures through Prometric directly.
No-shows, late arrivals, and ID problems
This is where the handbook gets unforgiving, so read it twice. Candidates who fail to show for a scheduled exam are considered a no-show and forfeit their application and payment. A brand-new application and an additional exam fee must then be submitted to HSPA before any new appointment can be scheduled.
Late arrivals are treated almost as harshly. Candidates who arrive later than their scheduled start time are seated only subject to availability, and may not be able to take the exam at all. That failure becomes a no-show: reapply, repay, and start over. The same fate awaits candidates who show up without valid identification, or whose first and last names on their ID do not match the information they registered with. Because these outcomes all end the eligibility period and forfeit the fee, double-checking your ID the night before is the cheapest insurance in this whole process.
What to bring and how check-in works
When you arrive, the Prometric representative asks for one form of ID showing both your current photo and your signature. It must be current and non-expired, and it must exactly match the first and last names on your scheduling letter. HSPA accepts a non-expired driver's license, state or federal government ID card, passport, employee ID card, military ID card, or student ID card. Credit cards, check-cashing cards, voter registration cards, and social security cards are not valid, and expired ID is not accepted even if everything else matches.
No personal belongings are allowed into the testing lab. A private locker is provided for outerwear, hats, food, drinks, purses, wallets, phones, keys, and study materials. You may keep only your ID and your locker key with you. Calculators are not necessary for the exam, and writing material is provided for notes, then collected at the end and may not be removed. Expect a metal detector scan and a pockets-empty check before each entry to the lab, continuous video monitoring during the session, and a test clock that keeps running even if you take a break. HSPA reminds candidates to wear comfortable, layered clothing, because test center temperatures vary.
When you find out your result
Scheduling ends with one small payoff: upon completing the exam you are notified at the test center whether you passed. Official results follow by mail, a certification package containing your new certification documents within two weeks if you pass, or a result report with retesting information within a week if you do not. For security purposes, test results cannot be given by email or phone, so no amount of calling HSPA will speed that up.

Frequently asked questions
How long do I have to schedule my CRCST exam after HSPA approves my application?
You have a 120-day testing eligibility window, and the clock starts when HSPA processes your application. You may book any day your local Prometric center is open inside that window. HSPA states that no extensions are granted, regardless of circumstance, so letting the window expire means repeating the application process and paying the fee again.
Can I reschedule my CRCST exam appointment?
Yes. An appointment can be rescheduled no later than noon Eastern Time, two business days in advance of your test date. For example, a Wednesday appointment cannot be rescheduled after noon on Monday, and a Saturday, Sunday, or Monday appointment cannot be rescheduled after noon on Thursday. Rescheduling is available online 24 hours a day or by phone Monday through Friday, 9am to 5pm Eastern, and you need your Prometric confirmation number. Any additional fees are paid directly to Prometric at the time of rescheduling.
What happens if I miss my CRCST exam appointment?
You are considered a no-show and you forfeit your application and payment. A brand-new application and an additional exam fee must then be submitted to HSPA before any new appointment can be scheduled. The same no-show outcome applies if you arrive too late to be seated or appear without acceptable identification.
What ID do I need to bring to the CRCST exam?
Prometric asks for one form of identification showing both your current photo and your signature, and it must be non-expired. Acceptable forms are a driver's license, state or federal government ID card, passport, employee ID card, military ID card, or student ID card. Credit cards, check-cashing cards, voter registration cards, and social security cards are not valid. Your first and last names on the ID must exactly match the names on your scheduling letter.
When will I find out if I passed the CRCST exam?
You are notified at the test center right after completing the exam whether you passed. Official results follow by mail: a certification package with your new certification documents within two weeks if you pass, or an exam result report with retesting information within a week if you do not. For security purposes, HSPA never gives results by email or phone.
Can I take the CRCST exam online from home?
No. According to the HSPA Certification Handbook, all HSPA certification exams are administered exclusively through Prometric testing centers. You book a seat at a physical Prometric center and take the exam on their equipment under proctored conditions.
